Curriculum: Using AI tools in everyday company work
1. Name of the curriculum
Using AI tools in everyday company work
2. Curriculum group
Arvutikasutus (computer use)
3. Aim and learning outcomes
Aim. The aim of the training is that the learner can use AI tools safely in everyday work tasks (correspondence, sales, purchasing and logistics, data analysis), check the result and partly automate some recurring work tasks.
Learning outcomes. On completing the training, the learner:
- explains how AI tools based on language models work and names their main limitations: errors, made-up facts and outdated information;
- distinguishes between data that may and may not be entered into an AI tool, based on the requirements for protecting personal data and trade secrets;
- writes a clear instruction (prompt) for a work task and refines it until the result meets the aim;
- checks the accuracy of a text, calculation or summary produced by AI and corrects any errors before use;
- uses AI to write work-related texts, such as business letters, offers, product descriptions or translations;
- uses AI to analyse tabular data, such as sales, stock or price data, and presents the result as a summary;
- describes the workflow of one recurring work task as a series of steps and automates at least one of these steps with an AI tool (e.g. a reusable instruction, a template or a simple automated workflow);
- uses AI to complete one of their own work tasks and presents the result.
4. Conditions for starting the studies
The learner uses a computer in everyday work: sends e-mails, uses a web browser and performs basic operations in spreadsheets. The learner has a computer and an internet connection during the training, and a camera and a microphone when taking part online. No previous experience of using AI tools is required.
5. Total volume of study
The total volume is 54 academic hours (one academic hour is 45 minutes):
- contact study 40 academic hours, of which theoretical study 12 and practical study 28 academic hours;
- independent study 14 academic hours.
The curriculum does not include a work placement.

Contact study takes place twice a week, 4 academic hours at a time, a total of 10 sessions over about five weeks. The exact period of the training is stated in the course description or contract; the total duration of the training is up to 12 months.
6. Content of studies and study methods
Module 1. Basics and safe use of AI tools. What a language model is and how it produces an answer. Common AI tools and AI features in office software. Typical errors and made-up facts. Personal data, trade secrets and employer rules: what must not be entered into a tool. Principles of the EU Artificial Intelligence Act from an employee's point of view.
Independent work: the learner maps their work tasks and marks which tasks AI could help with and which data must not be entered into the tool.
Module 2. Writing instructions and checking results. Parts of an instruction: role, task, context, format and constraints. Refining an instruction in several steps. Checking the result: facts, figures, sources and tone. Reusable instructions.
Independent work: the learner writes three instructions for their own work tasks and checks the results.
Module 3. Correspondence, offers and translations. Business letters and replies to customer enquiries. Drafting a quotation. Translating and checking a translation. Tone of a text and company style.
Independent work: using examples from their own work, the learner uses AI to write one business letter, one draft quotation and one translation and checks them.
Module 4. Sales and e-commerce. Product descriptions and adapting them to different channels and languages. Customer communication and recurring questions. Summarising public data on competitors.
Independent work: the learner writes or improves the descriptions of three products.
Module 5. Purchasing, logistics and documents. Comparing supplier offers. Summaries of delivery notes, invoices and contracts. Correspondence about deliveries. Collecting data from documents into a table.
Independent work: the learner uses AI to compare the offers of two suppliers and checks the result.
Module 6. Data analysis in spreadsheets. Preparing a table. Creating formulas and summaries with AI. Analysing sales, stock and price data. Checking and presenting results.
Independent work: the learner analyses one data table related to their work and writes up a summary.
Module 7. Automating recurring work tasks. Describing a workflow as a series of steps. Which steps can be automated and which must be checked by a person. Building a simple automated workflow with existing tools.
Independent work: the learner describes the workflow of one of their recurring work tasks and automates at least one step of it.
Module 8. Final project and presentation. The learner chooses one of their own work tasks, completes it with AI and presents to the group the instructions used, the checking steps, the result and the time saved or the change in quality.
Independent work: preparing and writing up the final project.
Study methods: in contact study, which takes place in real time (synchronously): short lecture, trainer demonstration, practical exercises based on the learner's own work tasks, pair and group work and discussion; in independent study, which takes place in the learner's own time (asynchronously), the learner completes the module's independent assignment and receives written feedback on it from the trainer.
7. Description of the learning environment
Contact study takes place in real time: in commissioned training on the client's premises, on a video platform or in a hybrid form, and in an open course on a video platform. Watching a recording of a session does not count as contact study. In the training room, each learner has a computer and an internet connection, and the room has a screen or projector. Online training uses the Google Meet video platform, which allows screen sharing and which the learner can use free of charge in a web browser.
The exercises use the AI tools ChatGPT (OpenAI), Claude (Anthropic) and Gemini (Google) and the AI features of office software. Free versions of the tools or the existing accounts of the client or the learner are used; if needed, a paid account is bought by the client in commissioned training and by the learner in an open course. The training is not user training for any specific software or service, and it does not teach the use of solutions developed by WebWay OÜ itself: the exercises are done with tools from different providers, and the learning outcomes do not depend on any specific product. Study materials and independent work assignments are provided electronically in a shared Google Drive folder for the group.
Personal data and trade secrets are not used in the exercises unless the employer has given written permission for this.
8. Conditions for issuing completion documents
Assessment. Achievement of the learning outcomes is assessed on the basis of the final project and the independent work. Assessment is non-differentiated: pass or fail. A piece of independent work is passed if the learner has submitted a solution to the task described for the module and has shown how they checked the AI-generated result.
Assessment of learning outcomes: learning outcomes 1 and 2 – independent work for module 1 and the final project; learning outcomes 3 and 4 – independent work for modules 2 and 5 and the final project; learning outcome 5 – independent work for modules 3 and 4; learning outcome 6 – independent work for module 6; learning outcome 7 – independent work for module 7; learning outcome 8 – final project.
The final project is passed if the learner:
- uses AI to complete one of their own work tasks;
- presents the instructions used and shows how they checked the result;
- explains which data they did not enter into the tool and why;
- presents the result, briefly explains how the AI tool used produces its answer and names its limitations (errors, made-up facts, outdated information) that they took into account when checking the result.
A certificate (tunnistus) is issued if the learner has achieved all the learning outcomes, i.e. their final project and all their independent work have been passed. A learner may submit the final project if they have attended at least 75 % of the contact study hours.
A statement of participation (tõend) is issued if the learner did not achieve all the learning outcomes or did not take part in the assessment, including if they did not meet the attendance requirement for submitting the final project. The statement of participation shows the modules the learner took part in and the number of academic hours of contact study they attended and of independent study credited to them under clause 4.7 of the study organisation rules.
The certificate or its annex shows the learning outcomes achieved and the methods used to assess them.
9. Methods and criteria for assessing learning outcomes in micro-credential studies
Not applicable: this curriculum is not a micro-credential curriculum. Assessment is described in section 8.
10. Estonian Qualifications Framework level
Not applicable: WebWay OÜ is not a university, a university of applied sciences or a vocational education institution. The curriculum is not based on an occupational qualification standard, another state-established standard or a formal education curriculum, and it does not give the right to work in a particular field or to apply for that right (§ 2 subsections 4, 4¹ and 5 of the Continuing Education Standard (täienduskoolituse standard)).
11. Description of the trainer's qualifications, study or work experience
To deliver the training, the trainer must have:
- professional competence: demonstrable practical experience of introducing AI tools and automating work processes in at least two companies; the trainer describes this experience with examples (work task, tool used, result). In addition, the trainer has used AI tools in their own work for at least three years;
- adult educator competence: experience of training or instructing adults (e.g. on-the-job training of employees, instructing a client's employees in using a new tool), confirmed by written feedback from a client, a document or a contact person.
WebWay OÜ assesses whether the trainer has these competences in accordance with its quality assurance rules.
